When Excel and a paper ledger stop being enough
Many tutoring centers start with a spreadsheet and a paper attendance book. That works while one person holds every file and the student list is short.
Once you add groups, teachers, and parents, the files split: attendance in a notebook, grades in another sheet, tuition in a third.
This page covers what breaks at that scale, what a system has to cover, and how Paideus maps the same jobs.
What breaks as the center grows
The sheet has one version the office trusts. When two people open it, it is no longer clear which copy is right.
Attendance stays in the classroom notebook. If that teacher is away, the history is not with the office.
Tuition gets retyped so receipts can be issued. myDATA does not read the spreadsheet; someone keys it in again.
There is no parent role. Updates leave as a screenshot or a message, with no record of who saw what.
The same pressure shows up in communication: when parents only hear from you on WhatsApp, the standing facts get re-sent from a personal phone.
What the software has to cover
- Attendance per group and lesson, with history
- A gradebook that uses the scales you actually teach with
- A timetable with rooms and teachers
- Tuition balances per student
- Parent access without a group chat
- myDATA from the same system, not a second round of typing
- Roles for admin, teacher, student, and parent
How Paideus maps those jobs
For what tutoring-center management should cover overall, start with the buyer guide. Below are the same jobs that today live in sheets and notebooks.
Attendance
Recorded per group, with history that does not stay in one teacher's notebook.
Gradebook
Grades and assignments on scales you define, not in a separate sheet.
Timetable
Groups, rooms, and teacher availability in the same place as attendance.
Parents
A parent sees what concerns them, with their own login, not a screenshot of the sheet.
Tuition and myDATA
Balances and receipts without retyping the spreadsheet for AADE.
Free attendance template
A ready-made sheet for a few classes, until you need more.
myDATA guide
What to ask for when tuition and invoices still live in a spreadsheet.
FAQ
Can I keep Excel only for tuition?
You can, but then balances sit apart from attendance and grades, and receipts get retyped. In Paideus, balances and myDATA stay in the same system.
Is a paper attendance book enough for a small center?
For a few groups, yes — until you need history when a teacher changes, or a parent needs to see it without a photo of the notebook.
Does each computer need an install?
No. Paideus opens in the browser for admins, teachers, students, and parents.
Is there a price list on this page?
No. Pricing is on request. Ask for a walkthrough from the contact page.
